Contractor Scale

After the proposal

What happens after you say yes

The practical version: what happens first, what we need from you, how opportunities are handled, and what your proposal controls.

Typical timeline

  1. Day one

Agreement and first invoice go out

  2. Week 1

Ads and landing pages go up

  3. Weeks 2–3

    Lead management system built

  4. Weeks 3–6

    Website rebuilt and launched

  5. Months 2–5

    Scale: content that compounds

No second sales call just to understand onboarding.

You should not need another long call just to understand what happens once you become a client. This page answers the questions that come up after a proposal, without pretending every builder needs the same plan.

The principle is simple: we identify the constraint, agree on the work required to remove it, then make the hand-offs visible. Your signed proposal is the authority for inclusions, timing, ownership and price.

Your time

Concentrated during onboarding, then focused on approvals, real lead feedback and the decisions only your team can make.

Our contact

An agreed account lead, a visible review rhythm and direct contact when an opportunity or decision needs your attention.

The boundary

The plan sets the normal boundary. Your proposal states the exact campaigns, assets, follow-up and workflows we are responsible for.

From you

What we need from you at the start

The fastest launches are not the ones with the most meetings. They are the ones where the facts, access and approvals arrive without three rounds of chasing.

Your proposal may ask for something additional because of the systems or intervention selected. If it does, that requirement should be clear before the agreement is signed.

  • 01The accounts and systems included in your scope
  • 02Your services, service area and the work you want more of
  • 03Approved project photos, proof and brand assets
  • 04Fast answers when a claim, price or project detail needs checking

The sequence

What the first stretch looks like

  1. 1

    First

Confirm the constraint and the scope

We turn the agreed proposal into a working plan: priority, owners, access, evidence and the first measurable outcome.

  2. 2

    Then

    Launch the shortest credible route

We do not wait for every long-term asset to be finished before creating movement. The first launch is determined by the constraint, not a generic checklist.

  3. 3

    Next

    Connect response and follow-up

Enquiries, acknowledgements, routing and the agreed pipeline steps are connected so the opportunity does not disappear between marketing and sales.

  4. 4

    Ongoing

    Measure, learn and improve

We use campaign evidence, lead feedback and the commercial result to decide what needs attention next. Scale engagements can also include selected long-term and workflow improvements.

Enquiries

How leads and enquiries are handled

Where the engagement includes lead generation, agreed enquiries enter the shared pipeline and receive an immediate acknowledgement. They are routed to the right person, with the source and next action visible.

Lead grading, concierge calling and longer-term follow-up are applied when they are part of the agreed scope. We define the criteria with you so a useful opportunity reflects your accepted work, service area and commercial reality. A generic score is not a substitute for that.

Graded A to D against your criteria

  • AA real project in your area, ready to talk. Flagged to you straight away.
  • BComes through by email.
  • CArrives in the system. Prioritise accordingly.
  • DA tyre-kicker or wrong fit.

Two plans

Growth and Scale do not include the same work

Growth

Fix the immediate lead-to-sale constraint

Suitable demand, human lead calling, CRM and short-cycle follow-up, plus sales support where paid planning fits. Builder Brain access helps you work with connected information. Recurring managed workflows are part of Scale.

Scale

Run the broader growth system

The immediate pipeline plus the selected compounding work: deeper follow-up, authority, content, conversion and agreed managed workflows. The proposal still defines the boundary.

Ownership and terms

What you own and what the agreement controls

You retain your business data, leads and advertising accounts. Other assets can have specific vesting, hosting, operating or handover terms. Those terms matter, so we do not replace them with a vague promise that everything works the same way.

New Growth and Scale plans have a 12-month initial term, monthly reporting and a formal month-three progress review. That review is not an automatic cancellation option. Renewal, notice and early termination follow the signed agreement. Existing clients retain their signed terms. The day you proceed, the agreement and first invoice are issued. Payment starts the onboarding work.

Q&A

What happens after you say yes: your questions, answered

These are the questions builders and their partners ask after reading the proposal. Plain answers, no jargon.

01How much of my time does this take?

Very little on the marketing side. Here is what we actually need from you:

Week one (once):

  • Send us your logo, brand files and photos of finished work.
  • Give us access to your Google, Meta and Business Profile accounts.
  • Send us your service list and a rough price guide.
  • Sign off the ads and the site copy. One round.

Ongoing, weekly (marketing input):

  • Tell us which leads were good. Takes a few minutes.

Ongoing, monthly:

  • Photos of finished jobs.
  • One review call with your account lead.

You will also be doing your normal sales work: responding to the enquiries we send through, visiting the site, and quoting the job. That is your business as usual, not extra work we create.

That is the full list. Everything else on the marketing side is on us.

02How often will I hear from you?

On a normal week, you'll hear from us when a lead comes through (graded, with context) and that's about it unless something needs your input. Your account lead is your day-to-day contact for anything you need between monthly review calls.

03When does the website go live, and what platform is it on?

Week 1 (typical):

Ads and landing pages go up first. Priority one is getting real conversations coming through.

Weeks 2 to 3 (typical):

Your lead management system is built around how your jobs actually move: lead stages, automatic replies to every enquiry, and follow-up reminders so nothing falls through the cracks.

Weeks 3 to 6 (typical):

Your website is rebuilt and launched on Builder OS by Bracen, a platform we build and host for you. Exact timing depends on how quickly we receive your assets and sign-offs from week one.

For Scale plans, this is followed by search-optimised content, service-area pages, Google Business Profile posts, review prompts, and social distribution. This is the longer-term work that builds over months 2 through 5. Your proposal confirms the scope included in your plan.

04Can I see what my website will look like?

Yes. Take a look at diackhomes.co.nz or jraconstruction.co.nz. We'll send you a comparable site before we start yours so you can see exactly what to expect.

05What does the CRM look like?

You get a shared system where every lead, enquiry and follow-up lives in one place. You can see who came in, what stage they are at, and what happens next, without chasing spreadsheets or relying on memory.

When someone fills out an estimate on your site or calls your number, they get an automatic reply before you have even seen the notification. If they go quiet, a concierge caller follows up. Leads who are not ready yet stay in the pipeline and continue to receive follow-up over time. You focus on the ones who are ready to talk.

06Is the lead grading real, or just a score?

Every lead is graded A through D against criteria we set with you: project size, location, type of work, timeline. This is not a generic score. It is graded against what a good job looks like for your business specifically.

An A-grade is a real project in your area, ready to talk. A D is a tyre-kicker or wrong fit. You will see the grade before you pick up the phone. A-grades are flagged to you straight away. B-grades come through by email. C and D grades still arrive in the system, but you can prioritise accordingly.

07Whose number do the texts come from? Does my number change?

As part of the setup, you get a dedicated tracking number for lead communication. Calls forward to whoever you choose (you, your office, a team member). Your existing personal or business number does not change and is not used for any of this.

When a lead comes through, the system texts them from this tracking number. The number handles all inbound and outbound lead communication so everything is tracked in one place.

If you leave, the number stays with you. It does not get reassigned. The specifics (registration, porting, caller ID display) are confirmed during onboarding based on your region and provider.

08Who writes the ads and the website copy?

We do, within your plan's scope. Ad copy, landing pages and website content are included in every plan. Ongoing content such as blog articles and service-area pages is part of the Scale plan. Your proposal confirms exactly what is included in yours. You sign off the first round of ads and site copy in week one, and after that we handle updates unless you want changes.

09What about AI search and those new Google answers?

You have probably noticed Google now shows generated answers above the normal results. When someone searches "how much does a new build cost in [your area]", Google pulls an answer from somewhere and puts it at the top. We build your content so your site is a strong candidate for that answer, not just a competitor's. The content work we do is designed for both traditional search results and these newer formats. As the platforms change, we adjust how your business gets found.

10What happens if we stop?

If you need to stop, here is how it works.

The initial term is twelve months, which mirrors a full sales cycle for your business, with a progress checkpoint at month three and monthly reporting throughout. After that, it continues month-to-month. You can cancel with 30 days' notice, no cancellation fees.

The website is property of Contractor Scale for the first ten service payments. So if you leave before ten payments, the website has not fully vested to you yet. An early buyout of the contract balance is available at any time if you want to take the site with you sooner. After ending a contract, your site can be migrated to another host, excluding service-related components: contact forms, online booking, website chat, and CRM integrations.

You own your Google and Meta accounts, your data, and your leads.

11When do we receive the agreement and first invoice?

The day you say yes, two things go out: the agreement (terms of engagement, plain English, no surprises) and the first invoice. Payment is month in advance. First payment triggers the setup, and we are into week one.

12Is ad spend included in the monthly fee?

Ad spend is separate from your monthly fee. It goes direct to Google and Meta, and we never take a cut of it. We recommend a starting budget based on your goals (covered in your proposal). Your monthly fee covers the work we do: your proposal sets out exactly what is included in your plan.
